About The Position
The Administrative Assistant will be located at the Uniformed Services University Center (USU) for Biotechnology (known as 4DBio3). The laboratory is in Rockville, MD and not located on the main USU campus. 4DBio3 works on a variety of technologies for the Department of Defense. Many projects leverage 3D printing and bioprinting. Applications include developing a bioprinted meniscus and a variety of in vitro tissue models. There is also a project to manufacture red blood cells. This role will involve scheduling of meetings, coordination of events and presentations, taking notes and providing summaries, and other administrative tasks in support of the Center's director.
Key skills needed coming into this position include the ability to multitask and prioritize tasks. Excellent time management skills. Well-developed organizational skills.
This position will be required to work 4 days in the office and 1 day remotely from home.
Salary Range
$50,000 - $55,000. Salaries are determined based on several factors including external market data, internal equity, and the candidate’s related knowledge, skills, and abilities for the position.
Responsibilities
- Provides administrative research program support to the Center’s Director to include meeting and calendar management
- Assists Director and Center staff with scheduling, coordinating and preparing meetings, preparing meeting agendas, and taking meeting minutes as needed
- Provides support to the Center’s Director in collecting program reports, reviews, and milestones tracking at the guidance of the Director and Program Admin staff
- Assist with reviewing project monthly reports and ensure that all has been transferred to USU, Geneva, and Sharepoint
- Creates and proofreads forms, presentations, documents, marketing and other written materials as needed. Maintains and updates databases and spreadsheets as needed
- Updates and maintains Center’s website and web presence via USU Marketing Guidelines
- Sets up and maintains Center/department files and assists with initiating, organizing, completing Center/department projects
- Greets visitors and serves as point of contact for visits and directs them to appropriate locations/spaces.
- Collects and maintains a log of visitors and sends to USU Security monthly
- Ensures conference room and lab spaces are clean and prepared for meetings and tours
- Prepares clerical and administrative functions such as sorting mail, operating automated office equipment, and providing and maintaining office supplies
- Maintain and manage office supply inventory
- Assists with event logistics planning to include: conferences, expos, and symposiums
- Assists Center staff with event planning as needed
- Assist Center Program staff as needed with taskers
- 100% on-site between 4D Bio3 and Uniformed Services University
Qualifications
- Minimum high school diploma
- At least 3 years administrative experience
- Strong computer literacy, including proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
- Familiarity with MS Teams and other video conferencing software platforms
- Intermediate level experience on Photoshop and Adobe Illustrator preferred
- Proficient in Gmail, Google Drive, and Google Calendar
- Customer Service experience
- Healthcare or medical research background or related experience preferred
- Knowledge of military system preferred
- Demonstrated competence in oral and written communication
- Must be organized, attentive to detail and reliable; possess good judgment and a positive, friendly and professional demeanor
- Must be flexible with changing priorities and demands, and able to communicate in a diplomatic and professional manner
- Must be able to obtain a security clearance to access government facilities
