The Administrative Assistant of Star Community Health, Inc. performs administrative duties, facilitates communication between the CEO, the Board, community partners, and the community.
Please note the selected candidate and new hire will be an employee of Star Community Health, Centers, Inc. and not St. Luke’s University Health Network. Star Community Health Centers, Inc., affiliated with St. Luke’s University Health Network, is an organization comprised of community based clinics and sites providing healthcare services to our local populations. New hire(s) will be recruited and hired via St. Luke’s University Health Network, but will transition to become a Star Wellness employee following the commencement of new hire onboarding.
SCOPE OF DUTIES:
Accurately arranges and schedules meetings and appointments, maintains CEO calendar. May complete payroll documentation and submit according to corporation policy. Composes routine correspondence for signatures. Maintains files of contracts and correspondence and related materials electronically and paper, when appropriate. Communicates effectively via telephone, screening calls and referring to appropriate person. Maintains awareness of corporation’s budget and works within its resources. Keeps organizational policy and procedure manuals and documents updated. Responsible for preparing meeting packages, attending meetings and taking minutes, as directed. Design and maintain databases as needed. Promptly handles complaints as appropriate. Coordinate meetings, location, facilities and materials required, as directed. Responsible for assisting Chief Executive Officer to achieve the Corporation’s goals through patient interaction, correspondence, responsiveness and proactive communications. Utilizes good problem-solving skills. Assists in gathering and recording data as requested. Responsible for recording and distributing meeting minute for Executive Leadership meeting, Board of Directors, Clinical Operations, and others as assigned. Submit Onboarding, IT purchase orders and coordinate first day activities for new hires. Coordination of community events, with other members of the team. Responsible for ordering office supplies, IT equipment, cleaning/housekeeping supplies and other items as assigned. Other related duties as assigned.
ADDITIONAL REQUIREMENTS:
Must be well organized with excellent communication and interpersonal skills and possess the ability to handle multiple, changing priority tasks simultaneously. Bi-lingual helpful.
QUALIFICATIONS:
EDUCATION:
High school Diploma or equivalent, preferred. Graduate from a secretarial/business administration program considered in lieu of experience.
EXPERIENCE:
Ability to complete clerical and secretarial duties. Tact, courtesy, initiative, sound judgment and the ability to follow direction. Five years' experience as a secretary or administrative assistant, preferred. Ability to work with people in a diplomatic manner. Ability to work independently or with minimal supervision. Computer proficiency in basic and some advanced features of Microsoft Word, PowerPoint, Excel, and Adobe Acrobat.
WORK SCHEDULE:
Day shift with varying hours based on the needs of the department.
