POSITION SUMMARY
The Administrative Assistant position is a regular part-time, ten-month position. This position is a direct report to the University Chaplain and serves as the Administrative Assistant to the Office of Spiritual Development.
ESSENTIAL DUTIES & RESPONSIBILITIES
1. Point of contact for Office of Spiritual Development
* Creates a sense of belonging for the broader university community as well as outside guests who interact with the office.
2. Support and provide administrative assistance for the OSD staff
* Manage schedule of University Chaplain
* Maintains expense receipts, supports credit card reconciliation and reporting, processes check/reimbursement requests, and tracks budget transfers.
* Manages room reservations, facilities work-orders, and catering requests.
3. Coordinate Chapel
* Speaker scheduling, correspondence, and contracts in conjunction with University Chaplain
* Logistics: travel, housing, and any on-site logistics including hospitality
* Media for chapel and campus digital signage, including Pro-Presenter
* Prepare and host Green Room for Office of Spiritual Development events
4. Manage Chapel Attendance Program & coordinate conduct with Dean of Judicial Affairs
* Assign chapel seats
* Manage chapel email correspondence
* Handoff discipline to the Dean of Judicial Affairs
5. Provide financial assistance for Mission Trips in conjunction with the Shalom Project Director
6. Manage all communication from Office of Spiritual Development
* Manage social media accounts with student worker
* Coordinate calendar and communication with office staff
* Manage OSD communication with campus; ie., revival promotion, social media, student ministries, discipleship groups, chapel, etc.
7. Participate in all staff meetings
8. Point person for all OSD graphic design
* Coordinate design work for Spiritual Development events using outside graphic design personnel i.e. Chapel, Chapel Calendar, etc.
* Coordinate with student worker design projects for student ministries, D-groups and social media promoting OSD and Shalom Project events
9. Supervise OSD student workers
10. Other duties assigned by the University Chaplain

Student employees and volunteers.

6. Ability to collaborate cross-departmentally and with the office staff
7. Proficient in office administration with multiple staff, student workers, and support staff
8. Computer literate – Familiar with Microsoft Office, Pro-Presenter, Astra, etc. Training for all programs is provided free of charge.
9. Ability to maintain confidentiality
EDUCATION
Bachelor’s degree preferred.
WORK ENVIRONMENT
Work from an office located on the balcony level of Ludwig Center. Office space is shared with a student worker and student interns, coordinated by their schedules. 10-month, non-exempt, part-time staff position. Employee will work August 1-May 31.
