We are currently looking to hire a dynamic individual to serve as an Administrative Assistant to support our team. The Administrative Assistant is responsible for supporting the key administrative components of the Alta Mira program and Management Team including maintenance of daily and weekly departmental schedules, general administrative support and working on special projects as assigned. This individual will be working closely with our Program Assistant, Program Manager and other members of the Management Team.
Responsibilities
- General administrative duties including faxing, copying for department and workshop facilitators, assisting with inter-department communication and coordination and inter-departmental meetings.
- Daily interaction with individuals across the team as needed for administrative support.
- Update and distribute Bi-Monthly staff schedules.
- Training will be provided to navigate relevant aspects of the Electronic Medical Record including client appointments, ancillary charges, etc.
- Schedule Zoom/RingCentral/Telehealth client appointments and monitor for updates every morning and throughout the day.
- Track and schedule client transportation and other specialized services as needed.
- Assist with preparation and tasks related to monthly workshops.
- Assist with greeting and directing clients, salespeople, vendors, contractors and visitors to the facility.
- Other duties as assigned.
Requirements:
- A high school diploma or equivalent required.
- Experience in a medical or behavioral healthcare facility is preferred.
- Tact and diplomacy in communication, as this role requires regular contact with clients, is essential.
- Experience with electronic databases, Excel, PowerPoint, Outlook and familiarity with using computers and other technology.
- Excellent customer service, interpersonal and communication skills and good organizational and decision-making skills.
- Attention to detail and the ability to track multiple tasks simultaneously.
- Ability to work effectively both independently and as a member of a tightly integrated team.
- Valid driver’s license in good standing and auto insurance.
- Successfully complete a comprehensive background check including drug testing.

Pay: $25.00 - $27.00 per hour
