Summary:
The purpose of this position is to provide administrative assistance to Conservation District (District) personnel and to perform various functions in support of the District. The work is performed under the direction of the Conservation District Deputy Manager. The goal is to improve soil health, water quality, and reduce non-point source pollution to local waters and ultimately the Chesapeake Bay.
Essential Duties and Responsibilities:
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Answers phones and greet visitors
- Helps schedule appointments and maintain calendars
- Collates and distribute mail.
- Prepares communications, such as memos, emails, invoices, reports and other correspondence
- Writes and edit documents from letters to reports and instructional documents
- Maintains filing systems, both electronic and physical.
- Dates stamp and distribute all incoming documents, plans, permits, mail and email.
- Operates office equipment including printers, copiers, fax machines and multimedia instruments
- Assists in conducting annual tree sale; produces flyers; takes orders; distributes invoices, maintains inventory; receives payments and sorts, wraps and distributes trees.
- Assists with bulk mailings.
- Assists staff with preparation for summer camp, distribution of materials (e.g., booklets, seedlings, etc.) and other special events such as the Envirothon, 6thgrade field days, and Farm City.
- Assists other office staff with office responsibilities; and other duties as assigned.
Minimum Education and Experience Required to Perform Essential Functions:
The minimum level of education for an Administrative Assistant is a high school diploma.
Must possess a valid PA driver’s license.
Minimum Knowledge, Skills and Abilities:
- Word processing skills – administrative support involves using word processing applications and document management software, typing up letters and correspondence, replying to emails on behalf of senior staff members, and producing documents. The ability to use MS Word and Excel.
- Communication skills – this job involves talking to customers or clients, liaising with team members, and answering phone calls, so excellent communication skills are vital.
- Database management – administrative support employees update spreadsheets and maintain databases, so they need a good understanding of programs like Microsoft Excel.
- Organizational skills – administrative support employees need to be organized, implementing filing systems that are efficient and ensuring that all important documents can be found easily and quickly.
- Time management – administrative support workers manage their time effectively and easily prioritize tasks.
- Ability to maintain confidential information and handle confidential matters.
Language Ability and Interpersonal Communications:
- Ability to communicate effectively with landowners, government officials and the general public both verbally and in writing.
Mathematical Ability:
- Ability to calculate figures and amounts such as discounts, interest, proportions and percentages. Requires the ability to perform addition, subtraction, multiplication and division.
Physical Requirements:
- Requires the ability to operate, maneuver and/or provide simple but continuous adjustment on equipment, machinery and tools such as a computer and other office machines, and/or materials used in performing essential functions.
- Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and pulling of objects weighing five to ten pounds.
Work Environment:
- Ability to work under generally safe and comfortable conditions where exposure to environmental factors may cause discomfort and poses a moderate risk of injury.
Employee Expectations:
In completing the duties and responsibilities of the Administrative Assistant, the employee will adhere to all county policies, guidelines, practices and procedures, act as a role model both inside and outside the County. Perform duties as workload necessitates in a timely, accurate and thorough manner and be conscientious about meeting department productivity standards; and communicate regularly with the Manager and Deputy Manager of the Conservation District.
District hours of operation are M-T-Th-F from 8 AM until 5 PM and Wednesday from 8 AM until 12:30 PM. The position would be expected to provide 12-20 hours of administrative support per week (within the hours of operation).
