The State University of New York Board of Trustees established the SUNY Charter Schools Institute in February 1999 and charged it with evaluating proposals for new charter schools; ongoing monitoring of student academic performance, fiscal soundness, and overall school operations; and presenting charter renewal findings and recommendations to the SUNY Trustees.

The Administrative Assistant will provide cross-team support the Institute and contribute to critical monitoring functions. The successful candidate will possess strong communication skills, and the ability to work with a team to produce a high volume of information in a timely and accessible.

Specific duties will include:

  • Provide multifaceted, cross-team administrative support to all Institute teams.
  • Utilize proprietary online document management system to upload and retrieve documents and forms, monitor outstanding items, and produce reports.
  • Create, maintain, and update templates and tasks within document management system.
  • Formatting and editing Institute reports using Adobe InDesign for various teams
  • Compose letters and memoranda, and proof-read, format, and finalize correspondence and reports produced by team members in electronic and paper formats.
  • Support the Institute's charter school complaint process including communication with parents/public, state agencies, charter schools, and escalate complaints to legal team as needed.
  • Coordinate and schedule meetings, conference calls, and video conferences with internal and external participants.
  • Maintain team due-date calendars, and monitor, track and produce reports identifying outstanding items.
  • Maintain accurate electronic filing systems for various processes and projects.
  • Assist in the preparation of materials for meetings of the SUNY Board of Trustees and its Charter Schools Committee.


Requirements:

Required Qualifications:

  • Minimum of a High School Diploma with at least 5 years of progressively responsible administrative experience; OR equivalent combination of education .
  • Strong computer skills required - MS Word, MS Outlook, Adobe
  • Willingness to learn new computer programs
  • Excellent written and verbal communication skills
  • Professional and flexible demeanor
  • Strong organizational capabilities and attention to detail
  • Ability to work independently and to handle multiple tasks
  • Ability to problem-solve and maintain a solution-oriented approach to work

Preferred Qualifications:

  • College degree in a relevant field strongly preferred.
  • Not-for-profit and charter school experience preferred
  • Adobe InDesign skills preferred.
