Education Administrative Assistant (new 2022)
Job Summary:
The College Counseling Administrative Assistant supports the College
Counselors, and other program faculty in their work with students. This includes the
scheduling, coordination, publicizing, and preparation of materials for all counseling
program events. The Administrative Assistant also maintains and serves as the primary
point of contact for new and current families.
ESSENTIAL RESPONSIBILITIES; ACCOUNTABILITIES
Serve as initial point of contact for students, parents, faculty, administrators, staff,
and outside representatives visiting or calling about the YS College Counseling
Program.
Assist Director and Counselors in scheduling, coordination (including facilities
and follow up calls), and preparation of materials for presentations and parent
advising events
Organize and facilitate the Counselor/Teacher recommendations and spring
student evaluations process
Assist students and Counselors with administrative support during meetings.
Provide basic technology support to families (installing Zoom etc.)
Provide transcript support including collecting and storing of student records both
online and on paper.
Prepare and process counseling department mailings to parents throughout the
year.
Send reminders for all counseling meetings and schedule changes.
Assist Director in Counselor assignments for incoming freshmen, rising
sophomores, and transfer students
Update student information, and create and distribute student folders accordingly
Assist in the preparation and distribution of webinar invites and attendance.
Coordinate, attend, and take minutes for department meetings.
Process email inquiries from prospective and current families.
