Job Title: Administrative Assistant to the Principal

Reports to:Principal

Location: St. Charles Borromeo School | Port Charlotte, FL

Position Summary:St. Charles Borromeo Catholic School is seeking apositive energetic individual to assist the principal in operation of the front school office and will be interacting with students and parents as a Full-Time Administrative Assistant. This roll shouldemanate our Catholic values throughout our front office.

Duties and Responsibilities:

  • Oversees operation of school front office including tidiness and organization
  • Monitors those buzzing the intercom to see if they should be buzzed in or may pose a threat and should not be buzzed in
  • Assists with copying and mail distributions
  • Answers the phone,take messages or transfer calls and check voice mail
  • Monitors students, parents, and volunteers checking in and out on the school check in system and issues vistor passes
  • Maintains attendance records
  • Maintains school office equipment and overall office files
  • Assists principal with the compilation of reports
  • Assists with preparation and maintenance of personnel file and confidential student cumulative files
  • Responsible for student file maintenance including: scanning, filing, sending out toand receiving fromother schools
  • Enters all student information into the SIS database
  • Orders and maintains inventory of supplies for school office and teachers
  • Manages the MIP database for teacher professional development
  • Assists with development projects as needed
  • Manages school calendar and coordinates various activities including field trips, and picture day
  • Assists with Key and Fob management and distribution.
  • Serves as the Safe Environment Coordinator and manages records
  • Assists with the scheduling of substitute teachers to fill in for absent teachers, whether in-house substitute or outside substitute.
  • Receives morning phone calls when the staff/teachers are out sick.
  • Opens bills and prepares for principal approval
  • Prepares newsletters whether monthly or bi-monthly
  • Works on various project and other duties for the principal
Requirements:
  • High School Diploma or higher
  • Excellent time management skills and multi-tasking
  • Excellent organizational skills
  • Able to exercise discretion in confidential matters
  • Excellent communication skills oral and written
  • Able to work independently and within a Team
  • Able to effectively communicate with a diverse population inlcuding, parents, students, faculty and staff, and vendors
  • Able to use word, excel, learn the student information software and a few other software programs necessary to running the school office
  • Bilingual in reading, writing, and speaking Spanish and English preferred
