Our corporate administrative support team in Downtown Minneapolis is currently seeking an experienced, positive, and professional Administrative Assistant. The Administrative Assistant position is a highly valued support role responsible for overseeing the front office duties with a welcoming and positive attitude, and performing general administrative tasks and other various duties as needs arise.
Schedule: Core working hours for this role are Monday - Friday, 8:00 AM - 4:30 PM
ESSENTIAL FUNCTIONS:
- Sort and distribute mail and express packages.
- Assist with copying, scanning, faxing, shipping, and filing documents.
- Code debit card transactions and upload invoices into online portal for admin and legal.
- Support corporate staff (legal, development, human resources, accounting, etc.) as needed.
- Assist with obtaining electronic (DocuSign) and physical signatures.
- Assist legal department with assembling closing packages.
- Update master business entity list with new entities.
- Renew business entities in state websites.
- Assist with setting up cell phones and iPads.
- Monitor copier leases. Work with properties to renew or replace at lease term.
- Review and approve computer and copier invoices.
- Respond to emails coming into info@ email account.
- Assist with preparing labels for FedEx packages.
- Assist with preparing certified mail.
- Create, order and distribute business cards.
- Administer company uniform program, including approving orders, organizing returns, etc.
- Update online directories with new hire information.
- Research, price, and purchase office supplies.
- Listen to and redirect voicemail messages.
- Organize meetings and monitor conference rooms via Outlook.
- Assist with the coordination of company events, meetings, and social gatherings.
- Assist with airline, hotel and car rental reservations for corporate staff.
- Maintain a high standard of business etiquette while interacting on the telephone and in person.
- Maintain a professional appearing front lobby.
- Other job duties as requested.
Required Experience:
High school diploma or equivalency- Strong experience with Microsoft Office and Outlook
- 2-3 years of Administrative Experience
- Practical understanding and familiarity of administrative and clerical procedures
- Working knowledge of customer service principles and practices
PHYICAL REQUIREMENTS
- Occasional lifting and/or moving up to 10-20 pounds
- Ability to sit for up to 8 hours at a time
- Occasionally required to walk, climb stairs, stand, and squat to perform assigned tasks
- Use of hands and fingers to handle or feel objects, office equipment; reach with hands and arms in all directions; stoop; talk and hear
- Specific vision abilities required by the job includes close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus
