The Administrative Assistant is responsible for providing administrative, clerical and financial support to our managers and employees, assisting in daily remote office needs and managing company’s general administrative activities. We are looking for an energetic professional with multiple skillsets. The ideal candidate is highly self-motivated, extremely detail-oriented, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment. This role also includes cross-departmental coordination to ensure efficient operation of the organization. The core duties and responsibilities include but are not limited to:

Job Duties

  • Manage scheduling meetings for multiple calendars and workgroups
  • Responsible for management/maintenance of an organized filing system
  • Order supplies and equipment as needed
  • Organize back up for bank & credit card statements
  • Answer and direct phone calls from mainline number
  • Read and analyze Info mailbox emails and forward appropriately
  • Organize the workplace so that the workflow is streamlined (includes running management scrum)
  • Uphold a strict level of confidentiality
  • Record and upload payments in accounts receivable tracker
  • Generate invoices and send to customer
  • Assist in vendor management and resolve issues
  • Maintain accurate and up-to-date staff and contractor documents
  • Other additional duties or special projects as assigned

Skills & Qualifications

  • Excellent written and verbal communication skills
  • Strong organizational, project management and prioritization skills with impeccable multi-tasking abilities
  • Comfort with fast-paced environment
  • Proficiency in collaboration and delegation of duties
  • 1+ years of administrative and clerical experience
  • Proficient in the use of various computer programs including Microsoft Office, with an ability to become familiar with firm-specific programs and software
  • Associate degree required (B.A or B.S preferred)

SPECIAL CONDITIONS

  • A criminal background check and drug-screen is required for all potential employees. Appropriate consent will be obtained before this process is initiated. All results of employee screening and background checks are maintained as confidential.
  • This position will have role-based access to ePHI and/or sensitive systems. Access will be terminated when no longer needed to satisfy job duties.

Job Type: Full-time

Pay: $60,000.00 - $70,000.00 per year
