The Administrative Assistant role is to provide prompt and efficient administrative support for all senior/management level staff at its office in Braintree, MA. The successful candidate has experience assisting management and all visitors to the company by handling various office task, providing polite and professional assistance via phone, mail and email and being a helpful and positive presence in the workplace.

This position is also available to provide support and assistance as needed to other departments as well as coverage for the Front Reception Desk and office staff.


Position Responsibilities:

  • Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
  • Providing real-time scheduling support by booking appointments and preventing conflicts.
  • Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations as needed
  • Screening phone calls and routing callers to the appropriate party.
  • Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
  • Receiving and distributing mail
  • Greet and assist visitors.
  • Maintain polite and professional communication via phone, e-mail, and mail.
  • Assists other administrative staff in ongoing maintenance of file system, including yearly elimination of impertinent data from central files for storage
  • Anticipate the needs of others in order to ensure their seamless and positive experience.
