The Administrative Coordinator II in charge of this scope provides support to the Directors and their respective teams. The individual will be able to interact with personnel of various levels and functions performing high-level administrative tasks requiring diplomacy, accuracy, discretion, and tact.
Job Responsibilities Include:
Calendar Management
Manage priorities for the Directors by discussing ever changing schedules and meetings and proactively working to ensure calendars reflect these priorities.
Schedules meetings & reserves conference rooms
Communication, Coordination & Support
Objective: Coordinate and communicate all aspects of assigned leadership, managers with relevant stakeholders to provide adequate administrative support/coordination.
Provides daily proactive administrative support to directors and assists additional team members with administrative duties as needed.
Interact with senior executives and staff within Sanofi to accomplish business tasks
Manages the on-boarding and off-boarding of colleagues
Order supplies and keep department within the budget
Oversees the building seating design and layout
Plans and organizes all team onsite and offsite meetings
Effectively communicate written and oral messages with accuracy and timeliness
Prepares grammatically correct correspondence, reports, meeting minutes, tables, and analyses
Reviews, analyzes and recommends/takes actions based on data gathered from a variety of sources
Generate and format basic presentations
Oversees organization and maintenance of files including potentially confidential data
Travel Coordination & Expense Management
Objective: Coordinate domestic and international travel for key meetings and workshops. Process expenses to help provide managers and team members’ time to address higher priorities.
Coordinate calendars and travel to ensure the most cost-effective options are available
Maintain compliance in booking of all travel and adhere to Sanofi Travel Policy by planning ahead, ensuring the most cost-effective options for travel and booking are available
Collect all necessary receipts for expenses and submit in Concur in a timely manner aligned with expense submission compliance timelines and track throughout the approval flow to ensure expenses are paid.
Manage the submittal of travel requests to adhere with MTech’s request and approval process.
Basic Qualifications:
High School Diploma and 5+ years administrative experience, preferably with experience providing support to director/executive level.
Proven prioritization and multitasking skills, detail orientation and excellent computer skills, including Excel, Word, PowerPoint, and Outlook are also required.
Excel and Microsoft Level 2
Power Point Level 2
Must excel in fast paced environment
Excellent interpersonal, oral and written English communication skills.
Preferred Qualifications:
Bachelor’s degree preferred with a concentration/focus in Business Administration
