Position Summary:
Performs a variety of routine to moderately complex clerical, reception, and administrative tasks to support administrative functions, departments, and clinic sites. Compensation is dependent on skills and experience.
Your contribution to the team includes:
- Greets Administrative visitors and guests, answers and direct phone calls, field inquiries from staff, patients and vendors, and maintains office efficiencies.
- Performs a variety of administrative duties, such as generating and distributing administrative campus emails, faxes and forms, sorting, distributing, and processing incoming and outgoing mail and packages.
- Prepares and processes daily deposits, scans, and uploads invoices, working collaboratively with Accounts Payable and Receivables.
- Maintains department people link and production boards by downloading, input compiling and creating reports from various sources.
- Ensures optional use of equipment, supplies, and inventory by preparing and monitoring the master inventory tracking, ordering all office, breakroom, and janitorial supplies for each building on campus.
- Serves as a backup to Administrative Assistant I duties and responsibilities, which include inspecting all campus buildings shared spaces, i.e. (conference rooms, coffee bars, and staff lounges) inventory monitoring, stocking, and maintaining supply par levels,
- Maintains Administrative Assistant II Position Manual and Department Manual via OneNote.
- Maintains good attendance, is punctual and works full scheduled shift is a condition of employment.
- Demonstrates respectful, professional, and appropriate behavior that supports a team-oriented work environment.
- Demonstrates a commitment to the mission, core values and goals of HealthPoint and its healthcare delivery including the ability to integrate values of integrity, wisdom, creativity, cooperation, responsibility and respect into appropriate programs and services.
- Performs other duties as assigned by supervisor.
- Attend staff meetings, in-service meetings and participate in agency committees and task force activities as required.
Must have’s you’ll need to be successful:
- Associate’s degree (AA) or equivalent from two-year college or technical school and two years experience in administrative support or related field; or equivalent combination of education and experience.
- Demonstrated operating knowledge of computers. Intermediate level ability with Word, Excel, Outlook, OneNote, and other required software programs, Publisher preferred.
Proof of vaccination for COVID-19 is required, prior to start. All new employees are also required to show proof of immunizations and/or immunity to MMR (measles, mumps, rubella), Varicella, annual Influenza and TB QuantiFERON Gold Titer. Additionally, if you work in a HealthPoint clinic, Tdap (within last 10 years) is required. Hepatitis B. is required for clinical employees with potential exposure to blood/blood products. All immunizations are a condition of employment. Upon hire, employees must provide proof of their immunizations and/or immune titer results prior to starting or no later than their fifth (5) business day of employment.
