The administrative assistant performs complex administrative support work. Work involves providing comprehensive administrative support work for the Litigation Department. Work involves intake and processing of subpoenas; maintaining case files and the Salesforce case management system; assisting with mail including processing and distributing; performing all internal administrative support work related to subpoenas, record requests, and administrative records, to include collection and identification of responsive records and required record redactions.

This position requires handling bankruptcy cases including review of new filings and associated research, collecting information from program areas and analyzing that information to make determinations about the need to monitor the cases, draft and file Proofs of Claim and assisting the attorneys with other related bankruptcy activities.

This position also requires some litigation work to include scheduling, case management assistance and other litigation tasks as needed. Also other related work as assigned, This position may provide guidance to others. This position works under general supervision, with moderate latitude for the use of initiative and independent judgment.


Essential Job Functions:
Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.

Responsible for intake of subpoenas into the Litigation Department including an initial review to determine if the request complies with statutory requirements. Coordinates and prepares timely responses to subpoenas served upon the agency. Corresponds with agency program areas to collect requested documents in response to the subpoena and secure business affidavits for the subpoena documents. Prepare, edits and disseminates information in answer to subpoenas received by the Litigation Department. Performs redactions on administrative records for court cases. Responds to inquiries and explains rules and policies related to subpoenas (60%)

Responsible for receipt of information concerning bankruptcy cases, performing preliminary research, collecting data from program areas to help determine the need to monitor cases, preparing and filing Proofs of Claim with the Court and working with the attorneys to manage the bankruptcy cases through closure. (10%)

Creates an electronic case file folder and ensures accurate and complete information. Enters accurate case information and other records in Salesforce electronic case information system. (10%)

Assists the litigation team as needed to include performing calendaring and scheduling, assist with document production, updating SalesForce case entries and the litigation files, general correspondence and Emails. (10%)

Performs general office duties for the litigation department to include maintaining filing system, creating case files and updating case information, and ordering and maintaining office supplies. (10%)


Knowledge Skills Abilities:
Knowledge of office practices and administrative procedures.

Knowledge of File Explorer, Word, Excel including creating folders and files, basic spreadsheets and documents.

Skill in the use of standard office equipment and software.

Ability to implement administrative procedures; to interpret rules, regulations, policies, and procedures; to communicate effectively; and to provide guidance to others.

Registration or Licensure Requirements:
None required


Initial Selection Criteria:
Minimum of three years experience in administrative support work. Legal experience is preferred. Graduation from a standard senior high school or equivalent is generally preferred. Experience and education may be substituted for one another.
