Administrative Assistant Job at Clinica Family Health
This job exists to: Support site management team to assure clinic stability.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide administrative support for the site management team.
- Process mail and filing.
- Arrange staff meetings as assigned.
- Record and distribute minutes as needed.
- Coordinate special projects or events.
- Coordinate staff recruitment, including interviews and orientation schedules.
- Conduct building tours for new employees as needed.
- Set up safety management drills or inspections as needed.
- Create New Provider Orientation schedules with support from the CDD/DDH.
- Create ACTS CU Dental Student Rotation schedules.
- Update MSDS books as needed.
- Point of contact for other departments.
- Point of contact for emergency communication.
- Maintain Outlook Calendars - Dental.
- Conduct data audits and analysis and prepare reports as requested.
OTHER DUTIES AND RESPONSIBILITIES:
- Maintain a safe work environment by remaining informed of and compliant with the clinic’s safety policies, and in particular by application of safe practices in area of own responsibility.
- Compliance:
- Knowledgeable of and compliant with laws and regulations governing area of responsibility.
- Responsible for reporting any potentially non-compliant conduct.
- Cooperate fully with our Compliance Officer in upholding our Compliance Plan.
- Perform other duties and responsibilities, as required.
- Cross train - DOT, OT, and NMTC.
SUPERVISION: No
SCOPE OF AUTHORITY:
Progress is reviewed quarterly and results are measured and formally evaluated annually.
POSITION QUALIFICATIONS:
Education and Experience:
- High school diploma or equivalent.
- Three years’ experience in an administrative support role.
- Experience in health care facility preferred.
Knowledge, Skills and Abilities:
- Excellent organizational skills required.
- Ability to work in a team management system.
- Ability to work under pressure.
- Computer knowledge including familiarity with the Internet, MS Word, Excel, Power Point, All Clear, Outlook, and Access.

- Usual office environment
- Ability to travel from clinic to clinic as required
- May require work outside of normal business hours

Compensation: Approximately $15.55 - $18.57 per hour. All individual pay rates are calculated based on the candidate's experience and internal equity.
