Administrative Assistant Job at Calhoun County
Job Summary
Under the general direction of the Executive Administrative and Legal Assistant, performs a wide variety of clerical and administrative duties to support the Calhoun County Administration Office. Serves as a backup for the Executive Administrative and Legal Assistant in the role of Clerk to the Board of Commissioners and other duties as needed.
Primary Duties & Responsibilities
1. Performs administrative tasks that support the County Administrator/Controller, Board of Commissioners and Corporation Counsel.
2. Backup for primary receptionist duties, helping internal and external customers by phone, in person at the front desk, and by email. Answers a wide variety of questions, provides requested information as needed, and refers individuals to appropriate staff members or departments.
3. Serves as a backup for the Executive Administrative and Legal Assistant in the role of Clerk to the Board of Commissioners, which may require attendance at Board of Commissioners and other board and committee meetings. Prepares minutes of such meetings for the official Clerk record as requested.
4. Assists with the maintenance of the Administrator/Controller and Board of Commissioners’ appointment schedules, including planning and scheduling of meetings, conferences, teleconferences, and travel for the Board. Helps to manage the meeting room calendar for the office.
5. Assists with the collection and processing of time/leave sheets, expense reports, payment vouchers, travel requests, and other similar items.
6. Helps ensure timely accurate filing, archiving, and shredding of paper and electronic documents according to document retention guidelines.
7. Assists with creating agendas and composing proclamations for Board and other meetings.
8. Assists with the preparation and posting of required legal notices of public hearings, press releases and other notices for the Board and Administration.
9. Assists the Executive Administrative and Legal Assistant and Corporation Counsel with processing, logging and maintaining files of Freedom of Information Act requests and appeals.
10. Drafts various documents, agreements, leases and correspondence for Corporation Counsel.
11. Assists with obtaining required signatures and preparation of final documents for execution following Board of Commissioners meetings.
12. Helps to coordinate property, vehicle and liability insurance claims, including collecting incident and accident reports.
13. Performs other duties as assigned.
Job Qualifications
1. The job requires a high school diploma or equivalent. An Associate’s Degree in a related area is preferred.
2. Two to four years of experience in secretarial or related field.
3. Possession of a valid Michigan driver’s license and an acceptable driving record
4. Computer skills necessary to effectively utilize word processing, databases, spreadsheets, scanning and imaging, e-mail, internet, and meeting scheduling is required.
5. The ability to network with others and to build trusting relationships with employees, co-workers, elected officials, and department heads. A professional appearance and demeanor is required.
6. Communication skills necessary to provide excellent customer service and accurate information to the public, vendors, clients, and all levels of County personnel.
7. Ability to frequently multi-task and handle simultaneous projects requiring concentration and attention to detail with occasional distractions due to people and/or telephone calls.
8. Must be able to handle difficult situations and conflicts that may arise in a professional manner, as well as deal with pressures related to meeting deadlines and other scheduling requirements, etc.
9. Excellent organizational, concentration and attention to detail skills.

Paid Time Off:
