Job Description:

The Administrative Assistant/Client Service Associate is an integral part of the office support; responsible for utilizing the client relationship model and turnkey tools to assist the advisors in building efficiencies, growing their practice, and servicing clients by gathering and analyzing client data, helping prepare financial documents, and other practice management tasks as needed. Provides general administrative/reception/operations support as needed. This is an hourly position ranging from 24-40 hours/week.

Administrative Assistant/Client Service Associate Responsibilities:

  • Provide general administrative duties such as answering phones, greeting clients and guests of the office, preparing reports, routine client correspondence, maintaining client files, submitting new business, and client appointment preparation.
  • Assist advisors in in servicing clients including preparing financial plans, conducting investment research, and administrative tasks assigned by advisors.
  • Aiding advisors in client preparations by scheduling and confirming appointments, ensuring client information is accurate and up to date, and provide necessary follow-up.
  • Prepare and ensure new business paperwork is successfully submitted which includes preparing forms, obtaining appropriate signatures, preparing documentation to send to home office, tracking when and where documents are mailed, and providing necessary follow-up.
  • Tracks Compliance for all licensing requirements for advisors within branch.
