The Employment Security Department is hiring an Administrative Assistant help agency leadership by directing communications, attending meetings and taking notes for others, and supporting daily administrative tasks.
In this role, you will serve as the primary support to the Assistant Director, Special Assistant to the Director, and other agency leaders within the Administrative Services Division. A key component of this position will be assisting the Deputy Director in creating an inclusive environment where everyone feels respected and appreciated. Success in this role would look like managing multiple forms of communication at one time, keeping information highly organized, and reaching out to teammates and collaborating with others when there’s an opportunity to learn something new, or you run into something you don’t have the answer to. You’ll also help craft executive level correspondence, perform related work assignments to include Human Resource Liaison duties, and make recommendations for actions inspired by the agency’s purpose and values statements. This is a remote position with the possibility of occasional travel per business needs.
Some of what you will do:
- Prepare documents, correspondence, and communications for the Deputy Director and/or Director.
- Distribute assignments to the Division’s leadership team at the request of the Deputy Director; track and edit executive correspondence and ensure answers are timely, accurate, and comply with agency rules and policies. You will also schedule and coordinate meetings and calendars; arrange meeting facilities, prepare meeting materials, as well as compose and publish meeting notes.
- Use independent judgement to accomplish assignments and solve problems that arise within a wide variety of issues such as facilities, correspondence, personnel, legislation, agency policies and procedures, etc.
- Promptly, accurately, and respectfully answer customer and stakeholder inquiries and complaints orally and in writing regarding laws, rules, policies, procedures, and customers service quality on behalf of or at the direction of the Deputy Director.
- Coordinate and manage special projects on behalf of the Deputy Director or Special Assistant. Special projects are typically of a high-profile and/or confidential nature and may include collaborating with a diverse array of staff of various efforts at a Division level. Projects may include researching and analyzing information to present results in a variety of formats including reports, writing and publishing brochures, or other visual/readable formats.
- Represent the Deputy Director in meetings in their absence or as their designee.

Additional Requirement of Employment:
- Must be able to pass an Unemployment Insurance (UI) Claim & Benefit Information Review.
- Per Gov. Inslee’s Directive 22-13.1, employees of the Washington State Employment Security Department (ESD) must be fully vaccinated against COVID-19. A person is considered fully vaccinated two weeks after the final dose of an authorized COVID-19 vaccine series. As a condition of employment, ESD employees are required to provide proof of vaccination before starting work. A medical or religious exemption may be requested for accommodation.
