OIC CAREER OPPORTUNITY

The Office of the Insurance Commissioner’s (OIC) Policy and Legislative Affairs Division is seeking a motivated and qualified individual to fill an Administrative Assistant 2 position, located in our Olympia Capitol Campus office.

In this exciting, fast-paced position, you’ll be reporting to the Policy and Rules Manager, and you will work closely with the Legislative Liaison and Policy & Rules Manager to provide administrative and staff support. The successful candidate will have strong time management skills, ability to work with a diverse group of people, be team oriented, and is comfortable working with multiple managers.

This is a Washington General Service position. The annual salary range for this position is $36,288 - $48,156.

Duties

  • Provide direct scheduling, conference room, and administrative support for Policy and Legislative Affairs Division staff.
  • Coordinate meeting logistics with interested parties to determine the agenda, location, conference calls, and computer equipment.
  • Assist Division staff with preparation of talking points, spreadsheets, reports, and other materials for executive, legislative, and internal meetings, and presentations.
  • Post web content updates and announcements to the public.
  • Establish and/or track legislative and rules assignments.
  • Prioritize and triage requests for meetings, correspondence, or information directed to all Division staff, including the Senior Policy Advisors, Policy Analysts, Legislative Liaison, and Policy and Rules Manager.
  • Reviews work of professional staff to assure documents are properly edited for organization, terminology, clarity, and grammar.
  • Review operating procedures and problems; develop solutions and/or recommendations for process improvements and maintain an up-to-date manual of work duties.
  • Arrange travel and training for Division staff; maintain supporting documentation.
  • Prioritize and schedule requests for meetings and other correspondence supporting the Division staff.
  • Manage the Division's bill analyses, fiscal notes and rulemaking assignments and deadlines.
  • Act as the liaison for program support between the Legislative Liaison, Policy and Rules Manager and other staff members and external interested parties.
  • Provide administrative support to complete Division projects and activities.

Qualifications

  • One year as an Administrative Assistant 1
OR
  • Bachelor’s degree in Business Administration, Public Administration or closely allied field AND two (2) years of progressively responsible experience in office/clerical, secretarial, or general administrative work in a professional office environment at a senior clerical level.
Graduate study may substitute for experience on a year for year basis.

OR
  • Six (6) years of progressively responsible clerical/office, secretarial, or general administrative work experience in a professional office environment at a senior clerical level.

Additionally, after qualifying by a method above:
  • Intermediate skill level in Word, Excel, PowerPoint, and Outlook.
  • Prior professional work experience scheduling meetings and conference rooms in Outlook with multiple internal and external attendees.
  • Ability to type or input 40 WPM.
Preferred/Desired Qualifications of this position include :
  • Experience providing administrative support to multiple mid-level or executive managers in a professional office environment.
  • Experience working within the legislative and rule making process in government setting.
  • Advanced skills in Microsoft Office Suite.
  • Ability to type or input 50+ WPM and skillfully utilize 10-key when composing correspondence or performing data entry work.
