What You’ll Do

Under the supervision of the Chief Financial Officer, the Accounts Payable Manager will lead the accounts payable functions for our multiple companies. This position will be responsible for ensuring all invoices are processed timely, accurately, and paid when due for each organization. They will also ensure all vendor statements are reconciled monthly and all disputes are resolved with the Operations team. The Accounts Payable Manager will need to be proactive in resolving issues and take initiative to ensure processes are effective and efficient. This is a highly visible and critical position that will help support the centralization and standardization of the accounts payable process. This candidate must have proven success in putting together an effective team and creating new processes. The Accounts Payable Manager must have strong communication and leadership skills. Our industry has high transaction and email volumes, this candidate must be extremely organized to manage these high volumes and multiple direct reports under them. The successful candidate will be a self-starter who is able to work with and manage the operational and financial aspects of a multi-dimensional department within the organization.

Duties and Responsibilities

· Balance Sheet Accounts Reconciliation: Perform account reconciliations for assigned balance sheet accounts and prepare related journal entries.

· Cash Management: Research and resolve AP issues with vendors. Research and resolve settlement issues with agents and affiliates. Process stop payments. Ensuring expenses are properly accrued and accounted for.

· Financial Reporting: Responsible for Caro-wise related processes, such as reviewing daily duty reports, reconciling Cargo-wise reports to and investigating any difference identified, and PO matching duty.

· Financial Audit: Participates in Bank exams and annual financial audit process and prepare workpaper and audit schedules as assigned. Analyze aged balances with agents and affiliates. Ensuring expenses are properly accrued and accounted for. Perform account reconciliations for assigned balance sheet accounts and prepare related journal entries.

· Internal Control:Assist CFO and/or Controller in assessing financial internal controls including risk assessments and review of risk areas. Assist in documenting accounting policies and procedures and implementing financial internal controls and best practices.

· Accruals: Understand and review accruals and the management of them.

· System Implementation:Assist CFO and/or Controller in the accounting and AP software selection process, implementation, and upgrade; perform data verification and migration as needed.

· Process Improvement:Monitor and analyze accounting workflows to develop more efficient procedures and use of resources while maintaining a high level of accuracy. Ensure compliance with internal controls and policies and procedures.

· Other Responsibilities: Assist with accounting projects, such as FYE change, new revenue recognition and leasing accounting standards. This position has 8-10 direct reports, with half of the team in Bogota, Colombia. Must have a proven record of managing a team successfully, including performance management and development.

· Other duties as assigned.

Successful Candidates Must Demonstrate the Following Abilities:

  • Candidates must have a bachelor’s degree in accounting with a minimum of 5 years full cycle of monthly close accounting and financial reporting experience.
  • Must be an advanced Microsoft Excel user and experienced with large ERP systems.
  • Proven knowledge of accounting standards, principles, and regulations.
  • Able to track and manage several projects simultaneously in a dynamic work environment.
  • Excellent GAAP knowledge and strong analytical skills.
  • Cargo-Wise and other accounting system experience is a plus.
  • Knowledge of pay portals, Paycargo, Cargo Sprint, St. Geroge, and Pier Pass are a plus.
  • Strong leadership skills with a dedication to driving and achieving results.
  • Very strong knowledge of General Ledger, Accounts Payable and Accounts Receivables processes and procedures.
  • High proficiency in financial reporting with ability to analyze and evaluate financial issues and recommend solutions.
  • Advanced MS Excel skills including VLOOKUP’s and pivot tables.
  • Advanced skills in automated financial and accounting reporting systems.
  • Strong analytical skills and critical thinking.
  • Excellent verbal and written communication skills.

  • Strong work ethic and comfortable in a fast-paced environment.
