The Accounts Payable Clerk provides support to the Accounts Payable Specialist and the whole Finance Department. The position also backs up the Accounts Payable Specialist and occasionally may assist with Purchasing.

ESSENTIAL JOB DUTIES:

  • Perform High Volume AP coding and entry. Issue, track, and match purchase orders to 75+ invoices a week.
  • Obtain approvals and process invoices for payments to vendors, contractors, and employees.
  • Prepare and cut urgent and housing checks weekly as well as assist with the weekly check run prepared by the Accounts Payable Specialist.
  • Apply procedures for obtaining timely and accurate submissions of vendor/subcontractor reports, billings, and invoices.
  • Sort and distribute mail daily including logging all payments received and distributing to appropriate internal departments via inter-office mail or scanning and e-mailing.
  • Communicating effectively and diplomatically with vendors, employees, and others.
  • Maintain accounting records in accordance with relevant accounting and internal control principles and practices.
  • Perform reconciliations between department records and vendor statements, checking to make sure all invoices have been received and paid.
  • File all paid invoices and backup accurately on a daily basis, including both paper files and electronic files.
  • Provide back up to the Purchasing Agent and the Accounts Payable Specialist as needed.

OTHER JOB DUTIES:

  • Perform other duties as assigned.

QUALIFICATIONS:

· Associates degree in accounting/finance, OR 2 years’ experience in accounts payable; (or the equivalent combination of education, training and work experience that provides the required knowledge, skills, and abilities).

· Competence and high level of accuracy with Excel, other Microsoft Office products, accounting software (Financial Edge a plus), 10-key by touch, and/or equivalents.

· Exceptional interpersonal, verbal, and written communication skills and superior organizational, multi-tasking, & prioritization skills.

· Requires flexibility, confidentiality, a high level of accuracy with attention to detail, and the proven ability to work professionally and collaboratively in a fast paced team environment.

  • Ability to maintain professional boundaries with clients, the community, and other staff members.
  • Work collaboratively with clients, other NARA staff, team members, and to treat everyone with respect and dignity at all times.
  • Experience working within the Native American/Alaska Native community is considered a plus.
  • If in recovery, must have a minimum of two years sobriety/clean time.
  • Ability to pass a pre-employment or for cause drug tests.
  • Ability to pass criminal background and DMV checks.
