Accounting/Payroll/HR/Office Assistant
This position is a key component in both the accounting & service departments of our organization. The Accounting position will perform and assist with all aspects of the accounting, HR, general business and office functions of the company, with support by senior staff and owners.
Duties will include A/R, A/P, Payroll, Human Resources, General Ledger Review, Contract Administration, and assistance with preparation of financial statements and month/year end bookkeeping, office/facility/fleet management as well as other common construction office administration functions. Position reports directly to the owners of the company. This is dynamic role and will evolve as new processes are implemented and old systems improved.
We are looking for an individual to provide hands on, small business operational expertise to provide support for the company daily functions and overall operations. To help identify existing process weaknesses, develop potential system enhancements while working with other company managers to implement changes that will enable us to have a stronger business foundation for future growth.
Requirements:
- Minimum two years of Construction/Landscape background in accounting/operations and or management. Prefer a college degree in a business/management/finance/accounting discipline
- Strong, recent, hands on accounting skills with modern office methods, practices, procedures, and use of technology
- The ideal candidate must be a team player and a team builder. The ability to work effectively and collaboratively daily with the owners, manager, senior staff, project assistants and fellow peers throughout the company is critical to success in this position
- Provide support to others through example and sharing of knowledge/skills.
- Collaborate, seek advice, and comment/recommend changes/solutions when appropriate from/to owners, coworkers, managers, and outside sources.
- A commitment to learn quickly and thoroughly our business flow, while applying relevant business experience to current company methods to immediately impact daily operations.
- Strong, verifiable background of accounting with strength in all or most areas; Human Resources, Payroll, Job Costing/Budgeting, Accounts Receivable/Payable, GL accounting & IT knowledge.
Knowledge, Skills, and Abilities:
- Ability to assist owner with the activities, accuracy and productivity of day-to-day accounts payable, accounts receivable, payroll, human resources, onboarding and terminations, inventory, general accounting activities, staff support, cash management, job allocations, and office/facility general operations, IT/computer networking, website management assistance.
- Direct and manage the flow of overall company needs as identified internally both vertically and horizontally while working with a strong management team
- Assist in continued establishment of and documentation of the company procedures (SOP), protocols & processes as well as finding better solutions to the business workflow.
- Position will help assess and review service contracts, subcontractor agreements, lien releases, governmental procedures and legal situations/documents. Ensure company follows all government requirements and standard good practices at all levels of business.
- Audits/renewals of insurance, certifications/licenses and client contracts.
- Computer savvy, intermediate to advanced Excel skills, Microsoft office
- Foundation for Construction software experience a plus
- Excellent interpersonal skills and a team player
- Strong problem solving and analytical skills. Perform multiple tasks with competence and follow up on loose ends
- Must be proactive, able to multi task with a hands-on approach to achieving daily and weekly tasks
- Self-driven, self-paced focused on getting work completed timely accurately and thoroughly
- Meticulous attention to detail and accuracy in work of self and others
- Flexibility and ability to thrive in a fast-paced flexible environment
- Comfortable asking questions to further knowledge of current systems and company procedures
- Strong organizational and time-management skills
- Operate with ownership oversight in an ever-changing environment. We are a seasonal work force changing gears from spring to winter with weekly, monthly, quarterly, annual deadlines. Think forward for new season while still closing out current season
- Establish and meet deadlines. Critically think through challenges and propose solutions to staff and owners
- Ability to see the big picture, while focusing on the process and procedures necessary to successfully support the company operations
